About Dragon Boat BC

Community, culture, and competition. All in one boat.

The Canadian International Dragon Boat Festival Society (dba Dragon Boat BC) is the non-profit producer of North America’s flagship dragon boat festival, the Concord Pacific Dragon Boat Festival. This year, the Festival will feature a reimagined program celebrating our community, its cultures, and the spirit of competition.

The Society also produces a series of races, cultural programming, and community initiatives centred around the traditional Chinese sport of dragon boat. Through our All Access and youth programs, supported by the Milton K. Wong Legacy Project, the Society makes paddling experiences accessible regardless of any barriers to participation.

This year, Dragon Boat BC is looking for volunteers for the following events.

Volunteer Team Leads

Our Volunteer Team Leads are a vital part of the Festival, and we would not be able to produce our event without the dedication and commitment of them and the rest of our volunteer team. We look forward to working with you! Volunteer Team Leads must be 19+ at the time of the Festival to apply.

General Volunteers

Help bring our events to life, and unite our community! Over 500 people a year volunteer at our events on the front lines, from helping visitors find their bearings, welcoming artists and performers to our site, and inputting information in the background to make sure race results get posted accurately.

Returning volunteers must register again each year; re-acceptance is not automatic.

Volunteer Positions

Volunteers ensure the success of the Festival in many different roles, from ceremonies and presentations, to traffic control and ensuring our event is as green as possible.

In addition to the responsibilities taken on by General Volunteers, Volunteer Team Leads take on leadership positions to help manage our volunteer, and are responsible for training and scheduling volunteers on their team. Please note that not all positions are available at all events; this list below is to provide a general overview of how our volunteer program works.

Beverage Service

Beverage Service Volunteers will help ensure the smooth functioning of the beverage service area, including organizing lineups, checking identification for drink service, and pouring drinks. Volunteers will also monitor overall inventory, request restocking of drinks or supplies like cups or ice, and ensure visitors are responsibly consuming beverages.

Multilingualism and prior customer service/hospitality experience is an asset for this team.

NOTE: Volunteers in this team must be over 19 years old and have Serving It Right certification (fees will be covered). A police information check may also be required for this team.

Team Lead Responsibilities:

Leading up to Event

  • Ensure all volunteers have Serving it Right certifications; and
  • Ensure all volunteers are trained to properly check identifications and issue of-age wristbands for alcohol service.

During Event

  • Ensure that all cashiers and ticket sellers are trained to use Shopify and accurately process payments;
  • Ensure supplies are properly stocked and request replenishment from production as required; and
  • Ensure visitors are served promptly and professionally.

Ceremonies and Protocol

Ceremonies and Protocol Volunteers will ensure that all Festival protocol and ceremonial matters are appropriately handled, including: preparing medals in advance for the medal ceremonies, ensuring video and photography are in the correct spot for ceremonies, introducing teams or speakers, ensuring any protocol requirements for dignitaries are appropriately met, and providing escorts for dignitaries to and from the availabilities they are participating in at the Festival site.

Multilingualism and prior customer service/hospitality experience is an asset for this team.

Team Lead Responsibilities:

Leading Up to Event

  • Work with Concord Lounge to ensure all invitations are correctly issued and RSVPs are received;
  • Ensure any special requirements for dignitaries are appropriately met;
  • Work with dignitary or teams to schedule ceremonies, tours, and other protocol requirements as necessary and coordinate with the appropriate departments;
  • Prepare protocol awareness sheets as necessary;
  • Ensure any artists required for ceremonies are properly scheduled and accommodated by working with Cultural Program and Main Stage Artist Lounge Volunteers;
  • Work with production and staff teams to lay out and rehearse ceremony operations;
  • Run dress rehearsals of ceremonies as appropriate; and
  • Ensure medals are appropriately prepared for presentation.

VIP Lounge and Concierge

VIP Lounge Volunteers will ensure the comfort of guests through a number of responsibilities, including greeting guests, restocking food and beverage inventory, maintaining a clean area, ensuring only authorized guests enter, providing Festival information to guests, handling the distribution of parking passes/accreditation, and assisting with the setup and tear down of decoration elements and displays in the Lounge.

Volunteers will identify Lounge guests participating in ceremonial events and escort them to relevant locations on-site as necessary and on-time.

Multilingualism and prior customer service/hospitality experience is an asset for this team.

NOTE: Volunteers in this team must be over 19 years old and have Serving It Right certification (fees will be covered).

Team Lead Responsibilities:

Leading Up to Event

  • Work with Ceremonies and Protocol to ensure invitations are properly issued, collect RSVPs, and ensure proper arrangements are made; and
  • Work with production and other staff to ensure all Lounge logistics arrangements are in-place, including supplies and staffing.

During Event

  • Set-up/tear down the Lounge;
  • Arrange the delivery of food and beverage orders to the Lounge;
  • Ensure only authorized individuals enter the Lounge;
  • Check passes upon entry and issue ID wristbands as necessary;
  • Serve alcoholic and non-alcoholic beverages to patrons;
  • Restock drink inventory throughout the day;
  • Provide information and services to Lounge guests;
  • Help escort guests to ceremonial positions on-site as required;
  • Restock food throughout the day; and
  • Maintain a clean area for Lounge guests.

Cultural Program and Performer Services

Cultural Program Volunteers will follow instruction form the Main Stage Artist Manager to help organize and provide assistance to musicians, cultural performers, and cultural pavilions at the Festival site leading up to and at the Event.

Prior hospitality experience is an asset for this team.

Team Lead Responsibilities:

During Event

  • Liaise with the Stage Artist Manager and Artist Advance Lead to fulfill artists’ needs; and
  • Direct/escort performers to different areas of the site as necessary; and
  • Ensure that only authorized personnel are in the backstage areas and help to secure artists’ belongings.

Finance Center

Finance Center Volunteers will be responsible for managing cash flow on the Festival site and selling drink tickets. Volunteers in this area should have great attention to detail and the ability to accurately record transactions.

A police information check may be required for this team.

Fundraising

Fundraising Volunteers will be responsible for fundraising booths and activities on the Festival site to raise money through activities like 50/50 raffles. This team will work with the Finance team to handle cash. Volunteers in this area should have strong interpersonal and communication skills, as well as the ability to accurately record transactions.

A police information check may be required for this team.

Team Lead Responsibilities:

During Event

  • Approach Festival visitors to solicit participation; and
  • Sell raffle tickets and record payments.

Race Operation Land Volunteers

Race Operation Land Volunteers will work either on land or the docks to ensure the race’s smooth operations.

On land, volunteers may assist with: Crew Marshalling to gather teams to ensure the races run on time, Race Registrar to run results to result boards, ceremonies and protocol to escort teams to and from medal presentations, or as otherwise needed.

On the docks, volunteers ensure the safety of paddlers as they load in and out of dragon boats. This work will involve stabilizing dragon boats by holding the lines and sometimes physically assisting paddlers.

Volunteers will be primarily on their feet and will need to stand for long periods of time.

Site Maintenance

Site Maintenance Volunteers are responsible for keeping the Festival site clean and free of garbage at all times, as well as providing support and escorts as needed. They will regularly monitor recycling and waste disposal stations throughout the site to help the public and ensure recycling and waste materials are put into the correct bins. Volunteers will also tidy the site as needed and ensure everything is in place.

Information and Guest Services

Information and Guest Services Volunteers will provide support to the general public and racers at information booths throughout the site. Duties will include providing maps and schedules, answering questions about related events, and providing directions within the Festival site and the immediate surrounding area. Volunteers will also work with security and production to keep an eye out on the site to ensure visitor safety and call in additional support as required for first aid, security, or logistical issues.

Some volunteers will also assist in the main Festival office to answer queries over phone or email.

Volunteers in this team should have excellent interpersonal and verbal communication skills and work well under pressure. Multilingualism and prior customer service/hospitality experience is an asset for this team.

Team Lead Responsibilities:

Information and Guest Services Volunteer Team Leads should be knowledgeable about all aspects of the Festival on Championship Weekend, including site layout, performers, nearby amenities, emergency procedures.

Leading Up to Event

  • Work with Festival teams to consolidate information on Festival site in advance of training visitor information volunteers;
  • Address pre-event concerns or inquiries over the phone from the general public and ensure any actionable items are followed up on by the relevant teams; and
  • Assist with material orders and ensure delivery to each visitor information station on-site.

During Event

  • Offer excellent customer service to paddlers, guests and the general public;
  • Address all concerns or inquiries and ensure any actionable items are followed up on by the relevant teams;
  • Be on the lookout for situations that require emergency services, production assistance, first aid, or security and assist in handling the situation as appropriate; and
  • Handle lost and found items and organize them for retrieval by owners.

Volunteer FAQ

What is the minimum age to volunteer?

Team Leads must be 19 years or older at the time of the Festival in order to apply, while general volunteers must be 16 years of age at the time of the Festival to volunteer.

When will I hear back about my application?

Once you submit your application, we will get back to you within 1-3 business days. If it has been more than 3 business days since you submitted your application, you can follow up with us at volunteer@dragonboatbc.ca.

Do I need to have Serving It Right / a Criminal Record Check / Vulnerable Sector Check done already to apply?

No, you do not need to have certifications or police checks already completed in order to apply to volunteer. You will only need to complete these if you are assigned to a volunteer team that will require Serving It Right certification or a Criminal Record/Vulnerable Sector Check. Fees will be reimbursed.

When will my shift(s) be?

Volunteer Team Leads should expect to work 4 hours a week until the Event and be available for 8-hour shifts during each full event day.

General Volunteers will have at least one shift on each event day. For most volunteer teams, these shifts will be between either 8:00 AM – 2:30 PM or 2:00 PM – 8:30 PM.

Will there be training for volunteers?

Yes. Volunteer Team Leads will receive individual training from the Society’s staff, and there will also be a Volunteer Team Lead orientation on TBA.

General Volunteers are expected to attend an orientation on TBA to meet their Team Leads and receive training for their roles on Event day.
